Essential Checklist: Documents Required for PGWP (Post-Graduation Work Permit)

Essential Checklist Documents Required for PGWP (Post-Graduation Work Permit)

PGWP

The Post-Graduation Work Permit (PGWP) is the ultimate prize for international students in Canada, offering up to three years of Canadian work experience the most reliable stepping stone to Permanent Residence (PR) through the Canadian Experience Class (CEC) or Provincial Nominee Programs (PNPs).

However, securing this permit demands meticulous accuracy. A complete and properly documented application is the only way to ensure fast processing and avoid costly delays or outright refusal.

This article provides a sharp, on-point checklist of the documents required for your PGWP application and highlights the critical eligibility deadlines you must meet.

Section 1: Core Eligibility Requirements (The Foundation)

Before gathering documents, ensure you meet the fundamental eligibility criteria set by Immigration, Refugees and Citizenship Canada (IRCC):

  1. Designated Learning Institution (DLI): You must have graduated from an eligible DLI in Canada.
  2. Program Length: Your academic program must have been at least eight months long, leading to a degree, diploma, or certificate.
  3. Full-Time Status: You must prove that you maintained full-time student status throughout your studies, with limited exceptions (e.g., final semester or authorized leave).
  4. No Previous PGWP: The PGWP is a one-time opportunity; you must not have been issued one before.

The 180-Day Application Deadline

You have a strict window of 180 days following the date your registrar’s office issues your final marks or officially confirms your degree completion to submit your PGWP application. Missing this deadline can lead to complications, including the need to restore your status as a student, which involves additional fees and delays.

Section 2: The Mandatory Document Checklist

The following documents must be prepared and submitted with your online PGWP application.

I. Proof of Program Completion

This is the most critical component. You must include two distinct pieces of evidence from your educational institution to prove you have finished all requirements:

DocumentPurpose
Official Letter of CompletionA formal letter from your school’s registrar’s office confirming that you have completed all requirements of your program and are eligible for graduation.
Official Transcript (or Copy)A copy of your official academic transcript, or a copy of your official transcript from your DLI’s website, showing final grades.

Actionable Tip: Some institutions provide a formal “UBC Acknowledgment Letter” or similar proof to expedite the process; include any such letters in your submission.

II. Identity and Status Documents

DocumentPurpose
PassportA clear scan of your valid passport, including the bio-data page and all pages with stamps, visas, or markings. Note: Your PGWP validity will be limited by your passport expiry date; ensure your passport is valid for the full three years you are eligible for.
Study PermitA copy of your current or most recent valid Study Permit.
Digital PhotoA recent passport-style photo that meets IRCC’s specific size and background requirements.
BiometricsConfirmation that you have provided your biometric data (digital fingerprints and photos) or the receipt showing you have paid the biometrics fee.

III. Eligibility Documentation (New Requirements)

For students who applied for a study permit on or after November 1, 2024, new regulations link PGWP eligibility to national labor market needs. You may need to provide one of the following, depending on your situation:

  • Proof of Language Ability: Required if your application falls under certain eligibility rules (consult the official IRCC website for the latest applicability).
  • Proof of Eligible Field of Study: Required if you applied for your study permit on or after November 1, 2024, to prove your program’s CIP code is on the updated list of eligible fields.

IV. Supplemental Documents (If Applicable)

DocumentPurpose
Letter of Explanation (LOE)Highly recommended. Use this to clarify any unusual circumstances, such as gaps in study, periods of part-time enrollment, or to include additional supporting documents.
Medical Exam ReportRequired only if you have lived or travelled in designated countries for a total of six months or more in the year preceding your PGWP application.
Payment ReceiptsProof of payment for the PGWP application fee ($255 CAD) and the Open Work Permit holder fee. If you are restoring your status (applying after your study permit expired but within 90 days), the restoration fee ($389.75 CAD) receipt is also required.

Section 3: Post-Submission: What to Expect Next

Once your application is submitted online, your processing time will typically be short. As of September 2025, the average processing time for PGWP applications submitted from within Canada is approximately 6–7 weeks.

Working While You Wait: If your Study Permit was still valid when you submitted your complete PGWP application, you are generally authorized to work full-time until a decision is made. If your Study Permit has already expired, you must wait for your PGWP approval to begin or resume work.

The PGWP is your final piece of temporary status before applying for permanent residence. Ensure you use the time to gain skilled work experience in TEER 0, 1, 2, or 3 occupations to maximize your CRS score under the CEC.
